2. Why Use a POS System?

Most business owners site “cost savings” as the main benefit of using POS systems.  This category is a little vague- how does using a POS system save money?  What other benefits can you expect?

Fast and efficient transaction processing
The right POS system cuts down on those “human errors” that can occur when processing sales transactions.  Merchant account services can involve several steps- inputting sales data, taking payment information (sometimes using a separate credit card processing terminal) and recording the sale.  The more complex steps involved, the likelier an employee is to make a mistake.  POS systems make transaction processing fast and efficient by making them simple to input.  A touch screen terminal at a restaurant is a good example- a server records an order at the table, and enters it at a central terminal, rather than give kitchen staff the handwritten order.  The simple process of order standardization cuts down on errors significantly.

Record keeping
POS systems standardize the format of transactions, making it easier to keep accurate records of sales by day, month, employee, or department.  If your business relies on this type of information for employee bonuses or commissions, tax purposes, or tips, a POS system will be especially helpful.  POS systems can also keep track of employee hours, sales promotions, and customer information, allowing you to accurately analyze your sales data.

Effective use of information
The purpose of collecting accurate information is that you can use it to manage your business better. POS systems usually offer reporting functions, allowing you to generate reports of transactions by category, by department, or by employee for any specified time period.  You can track inventory better, place orders when more stock is needed, and save yourself from guesswork or analyzing information from several different sources.

Cost savings
All of the above will lead to cost savings for your business, but a POS system can also help you save by minimizing your equipment and employee costs.  Better transaction processing frees up employee time, and a single processing source makes it unnecessary to purchase additional credit card processing equipment or transaction processing devices.
